During the mobility tasks

On this site you may find all information regarding the documention connected to your Erasmus+ Scholarship for long-term study mobility.

Please note that one of the basic conditions of the Erasmus scholarship is that the student has an active student status during the scholarship period in Hungary (it does not apply to students participating in traineeship after graduation). Please declare your active status in Neptun as usual (if you extend your Erasmus scholarship for the next semester, you will also need to activate that semester). If you have missed this, report it urgently to the faculty student administration. Passive students are not eligible for an Erasmus scholarship, failure to declare the active students status will result in a refund of the full amount of the grant awarded.

Certificate of Arrival/Registration

Submitting the Certificate of Arrival/Registration signed by the host coordinator, or a document confirming arrival in the partner institution’s own format, to the faculty Erasmus+ coordinator via email (outgoing@btk.elte.hu) is optional.

This document does NOT need to be uploaded to the Mobility-Online platform!

Learning Agreement During the Mobility

The Learning Agreement (LA) During the Mobility document must be prepared if there are any changes to the courses listed in the Learning Agreement Before the Mobility document (only deleted or added courses need to be inidcated) or tasks related to your traineeship. This document must also be signed by all three parties! For the sake of readability, please do not fill out the document by hand! 

Mobility for studies:

  • Based on the general credit recognition procedure the student indicates any necessary changes to the LA during mobility section of the document according to the final list of courses taken at the host institution.

  • If there have been no changes to the courses taken, please indicate this to your faculty coordinator when submitting the form containing course equivalencies (see next document). 

  • The deadline for finalising the course list and submitting the document is 30 November (for students travelling to Germany: 15 January) for the autumn semester and 30 April (for students travelling to Germany: 31 May) for the spring semester. More information is available here.

  • The LA during the mobility must be completed on the Mobility-Online platform. However, if all three parties signed the LA Before outside the system (i.e., paper-based LA), the LA During must also be completed in this format, and the document signed by all parties must be uploaded to the Mobility-Online platform in PDF format. In case of traineeships:

  • You only need to fill out this document if there has been a change.

  • On paper: During the mobility – traineeships.

  • On the Mobility-Online interface: "During the mobility" section.

  • To be submitted within 2 weeks of the change. 

Course equivalence form

The Equivalence form (form containing the academic equivalencies) must be completed only in the case of mobilities for studies!

The Equivalence form is an attachment to the LA During the mobility (or, if no changes have been made, the LA Before the mobility) document. Submission of this document is mandatory for all students participating in a study mobility.

  • The deadline for uploading the document to the Mobility-Online system is November 30 (for students travelling to Germany: 15 January) for the fall semester and April 30 (for students travelling to Germany: 31 May) for the spring semester.

We also recommend that you verify whether your Erasmus+ status has been set in Neptun (this does not apply to students participating in a mobility after graduation)! If not, please notify your faculty coordinator!

This is important, because:

  • it facilitates the Erasmus credit transfer process;

  • students with Erasmus status are exempt from reallocation (should this occur at the end of the academic year due to their Erasmus mobility); 

  • no additional fee is required for credits earned during the Erasmus semester—even if the student reached the credit limit.

Information regarding the Equivalence form

1. What is the Equivalency Form?

It is the annex to the Learning Agreement During the Mobility; a form listing course equivalencies, in which students must list the courses they intend to take at the partner university during their mobility, along with the equivalent ELTE courses that will be accepted at home. Based on this form, after the student returns home and the Transcript of Records is submitted, the courses will be automatically entered into the student’s Neptun account.

2. When and to whom should the Equivalency form be submitted?

For students going abroad within the EU, the deadline for uploading the Learning Agreement During the Mobility document and the Equivalence form to the Mobility-Online system is November 30 for those going abroad in the autumn semester and April 30 for those going abroad in the spring semester. (If the LA has not changed, only the Equivalence form needs to be uploaded to the Mobility-Online system.)

3. How should the equivalence form be filled out?

If there is a course that is worth 5 credits at the host university but corresponds only to a single 3-credit required course at home, then the remaining 2 credits must be listed as elective courses; so the total number of credits listed on the form must exactly match the number of credits earned abroad. (Unless a required course at home is worth more credits than the course completed abroad.)

On the form, the "credit number" column always refers to the credit value of the course to be accepted at ELTE.

You can download a sample equivalence form here. As shown in the PDF example, the first two lines refer to a course completed at the host institution (5 credits), which has been listed as a 3-credit required course at ELTE, with the remaining 2 credits counted as an elective course. In the third row, a course taken at the host institution is listed as a required course at ELTE with the same credit value. In the fourth row, a course taken abroad is listed as an elective, since there is no equivalent required course at ELTE for which it could be accepted.

Additional lines can be easily added to the downloadable Word file.

4. Who should sign the Equivalence form?

  • Every line of the equivalence form must be signed by the academic coordinator! 

  • The student must sign in the "signature" section at the end of the document (a typed name is not acceptable!).

  • The reference number field must be left blank.

  • The completed document, signed by everyone, must be uploaded to Mobility-Online in PDF format (along with the LA During the Mobility document).

5. How can I avoid common mistakes?

  • Make sure the correct course code is entered on the equivalence form (e.g., BBI or BMI must appear at the beginning)!

  • It is mandatory to provide the subcode for all course codes! (Bad example: BBI-KOM-291.X, Special Seminars > nincorrect; a specific course code and course name are required! Good example: BBI-KOM-291.GF, Elective Special Seminars: Basic Concepts in Social Sciences > correct!)

We ask all students to pay close attention when filling out the form, as the information provided in the equivalence form will be automatically accepted and entered into the student’s Neptun system based on the Transcript of Records sent upon completion of the mobility period.

Information regarding the LA During the Mobility

1. How should the LA During the Mobility be filled out??

Since ELTE accept all credits brought back from abroad, if, for example, Table “A” of the LA lists 25 credits worth of courses, but the student can only have 16 credits worth of required courses from home accepted in Table “B,” then the remaining 9 credits earned abroad must be listed as elective courses (“Elective course”) in Table “B” of the Learning Agreement Before the Mobility. If this was not entered in the LA Before, it can be added in the LA During as well.

In the LA During the Mobility document, all changes made in Tables "A" and "B" must be recorded, whether it is the addition or removal of a course compared to the LA Before the Mobility.

2. Do I have to have all credits earned abroad accepted?
Yes! However, it is important to note that credits brought back from Erasmus cannot result in exceeding the credit limit; therefore, you do not have to pay for them at the end of the programme if these credits cause you to exceed the maximum number of credits that can be earned!
