  1. Where can I find the current call for applications?

The current calls for applications are always available on the central website of the current Erasmus+ calls for applications.

  1. When and where can I apply for Erasmus „studies abroad” mobility type?

Studis abroad mobility is only possible during the main application period (September call) and the supplementary application period (February call), on the Neptun interface.

  1. When and where can I submit an application for Erasmus „traineeship abroad” mobility type?

The application for traineeship abroad during studies / after graduation/absolutorium  is continuous from the first day of to the last day of the semester. During the main and supplementary application periods, the application must be done on Neptun. Outside the application periods, the application documents must be sent by email to the academic coordinator of your Institute/Department.

In case of short-term doctoral mobility, the application documents must be sent to the Secretary of the Doctoral School.

Outside of the application periods, the applications should be sent at least 2 months before your departure.

  1. When should I submit an application for traineeship?

Outside of the application periods, the applications should be sent at least 2 months before your departure, but it is better if the student submits the application even sooner, because the application has to go through several decision processes, then the ’before mobility documents’ have to be prepared, the Grant Agreement has to be prepared and even after these all are done, after the scholarship transfer, it needs 1 more month for the scholarship to reach the student's account. Thus, it is worth submitting the application 3 or even 4 months earlier, so that the costs before the mobility (flight ticket, accommodation) can be financed from the scholarship.

  1. Which universities can I apply for studies abroad mobility?

Each student can choose a target university from among the universities with which the Institute/Department corresponding to his major has a valid bilateral contract. The academic coordinator can provide more information on this question.

  1. Who is my academic coordinator? Who is my faculty coordinator? What is the difference between a faculty and a professional coordinator?

- The academic coordinator is the responsible coordinator of the sending Institute/Department, who is at the student's disposal for academic and Institute/Department-related questions (with which universities the Institute/Department has a contract, where the student can apply, for which subjects studied abroad can be accepted at ELTE.)

- The faculty coordinator (outgoing@btk.elte.hu) is the administrative coordinator.

For students applying to traineeships: Letter of Acceptance / Letter of Admission (the host institution/company issues to the student): If the host institution is not a university, the precise postal address, e-mail address and telephone number of the host institution must be included in the document as well.

When applying, please make sure that you have an e-mail address under Neptun / My data / Contact Information, which you often use, because official notifications and information about the Erasmus + scholarship will be sent to the e-mail address provided in Neptun.

  1. What documents are needed to apply for short-term doctoral mobility?
  • Application form (filled out electronically and signed/authenticated) download here

  • Motivation letter and work plan. Attention! In the case of the Faculty of Humanities, this document must be signed by the dissertation supervisor as well.

  1. I missed the application deadline at Neptun. What should I do now?

Applications for studies abroad can only be submitted during the main and supplementary application periods, so please wait until the next application period if you missed one.

The application period for traineeship is continuous, therefore outside of the application periods, the student can submit the application to the academic coordinator until the last day of the semester in each semester.

Applications for short-term doctoral mobility are open until the application deadline announced on the website. Applications cannot be accepted outside the deadline.

  1. What language test does the partner require in order to travel abroad?

This is different for each university, and unfortunately neither the faculty coordinator nor the academic coordinator can give a precise answer. We advise the student to inquire and find out about these questions on the website of the partner university or by email with the coordinator of the partner university before applying for mobility.

  1. I am in my last active semester before the final exam. Can I go for an Erasmus mobility?

Before the student submits the application, we strongly request to check at the partner university when the semester ends there, when can the exams be taken, and when can the final documents (Transcript of Records, Certificate of Attendance) be received by the partner, as the student must arrive home with all final documents and submit them at the latest 2 weeks before the day of the student’s final exam date.

  1. How many months in total can I spend with Erasmus during my studies?

A total of 12 months per student can be used per training (BA/MA/PhD). In the case of undivided teacher training, this is 24 months. A mobility can last a maximum of 5 months (in the case of studies abroad mobility it is 1 semester; in the case of a traineeship, a maximum of 5 months can be spent at the same institution/organization). Two applications can be submitted within one academic year (both for the autumn and spring semesters), but only to different Universities/Institutions.

  1. I used 2x5 months of mobility within my training. Can I still go on a traineeship?

A mobility must last at least 2 months (60 days). So, if there are at least 60 days left from the 12 months, it can be used for a traineeship. If there is less than 60 days left, unfortunately it cannot be used for a mobility.


Frequently asked questions after winning the Erasmus Grant officially

1. I won the Erasmus Grant for study abroad/ traineeship mobility. What is the first step?
First of all, we ask the granted students to read the central website for the winners in detail, including the pages before, during and after mobility. In addition, after getting the official email about winning the grant, it is strongly recommended to participate in the online information session for BTK scholarship winner students. If for some reason the student is unable to participate in the event, please watch the recorded video and check the uploaded presentation material. The link to the recording and the pdf file will be sent by email to all Erasmus scholarship winner student by the faculty coordinator.

2. Which website can I get information from?
- In the case of study abroad mobility and long-term traineeship, the central website is available here.
- In case of short-term doctoral mobility, the central website is available here.
- The BTK Erasmus page is available here.

3. What before the mobility documents must be submitted, to whom and by what deadline?
- All documents that need to be submitted before departure are on the before the mobility website for long-term mobility, and before the mobility website for short-term mobility. Documents should be sent to the Faculty coordinator (outgoing@btk.elte.hu): Learning Agreement before the mobility (signed by everyone), photo of EU card (or health insurance that covers the entire mobility period), OLS test result (on which your name and the reached level are also visible).
- The submission deadline for students traveling for the fall semester is July 15, for students traveling for the spring semester December 10.

4. What do I need to do to have my Grant Agreement (contract) done? 
The before mobility documents must be sent by email to the faculty coordinator, and the form on the before the mobility website must be submitted online. After submission, the form is automatically sent to the Department of Erasmus+ and International Programmes, the faculty coordinator does not see it.

5. What is a 'Learning Agreement before the mobility'?
- In case of study abroad mobility: The Learning Agreement is the document in which the student must list what subjects he/she will take and wish to complete at the partner university to which he/she has been granted (Table A), and what subjects he/she will be able to transfer these subjects to at the home Institution/Department at ELTE (Table B). Sample.
- In case of traineeship: The Learning Agreement records the tasks to be performed during the traineeship. Sample.
- In case of short-term Doctoral mobility: The Learning Agreement records the tasks to be performed during the traineeship. Sample.

6. Who must sign my Learning Agreement?
The Learning Agreement must always be signed by 3 parties in order for it to be authentic: 1. the Student, 2. the ELTE academic coordinator. 3. the relevant coordinator of the partner university.

7. Who is my academic coordinator? Who is my faculty coordinator? What is the difference between a faculty and an academic coordinator? Who should be written where in the Learning Agreement?
- The academic coordinator is the responsible coordinator at the sending Institute/Department, who is at the student's disposal for academic and institute/department-related questions (with which universities the Institute/Department has a contract, where can the student apply to, for which subjects can the partner universities subjects be accepted/recognized.) The academic coordinator is the "Responsible person at the host institution" for signing the Learning Agreement and the equivalence form (during mobility, BTK special tasks for automatic subject recognition).
- The faculty coordinator (outgoing@btk.elte.hu) is the administrative coordinator. The Faculty coordinator is the "Administrative contact person at the host Institution" in the Learning Agreement, who does not have LA signature authority.

8. Where and how to fill out the Learning Agreement?
- In case of study abroad mobility, the Learning Agreement must be completed in the Online Learning Agreement system.

Attention! As a result of an IT transition, some host universities are currently not accessible in the Online Learning Agreement (OLA). This means that the host university will not appear in OLA among the eligible institutions / it appears, but OLA shows error message; and the host university will not be able to sign the Learning Agreement. If you are affected by the problem and your mobility would take place within 1 month, or the host university has set a tighter deadline for completing the Learning Agreement, you can exceptionally prepare it on paper. In this case, please notify your international faculty coordinator in advance by email, enclosing a print screen on the existence of the problem and a justification for the urgency of preparing the Learning Agreement.

- In case of a long-term traineeship, the Online Learning Agreement system is currently not available, so please fill out the following Learning Agreement document: Learning Agreement for Traineeships. You can find the Guidelines here.
- In case of short-term doctoral mobility, the Learning Agreement template can be used.

9. What bank account is required for the mobility?
Any HUF or EUR based bank account will do, however, as the scholarship will be received in Euros, it is recommended to open a bank account based on Euros. Revolut is also acceptable.

10. In which language should the OLS test be completed?
The OLS test must always be completed in the language of mobility. If the language of mobility is not included in the OLS test options (e.g. Turkish), or the language of mobility is the student's native language, then an OLS test does not need to be submitted, but the faculty coordinator has to be informed about this.

11. When will the scholarship arrive?
When the Grant Agreement (contract) has been signed by the student and returned to the Department of Erasmus+ and International Programmes, the process of transferring the scholarship starts. When the transfer has been made, it will take around 1 month for the scholarship to reach the student's account.

12. How much scholarship will be received at the first transfer?
90% of the amount for the entire scholarship for the stay period (which the student entered in the form). The remaining 10% will be paid at the end of the mobility, after the submission of the final, after mobility documents and their central check-up. (It takes 1 month for the money to arrive onto the student's account from the time it is transferred.)

13. What happens if I have to interrupt my mobility for some reason?
- If a minimum of 2 months (60 days) have already passed from the duration of the mobility, a Certificate of Attendance must be requested from the coordinator of the partner university, on the basis of which the Department of Erasmus+ and International Programmes will recalculate the scholarship amount, and the student will receive an email about what amount of the scholarship the student must return in Eros (for the days not spent abroad, but the scholarship was already received for them).
- If the duration of the mobility does not reach the minimum 60 days at the time of interruption, the student has the option to submit a vis major, equity claim, more information about this can be found on this website in section III. 

14. What mobility documents must I submit during the mobility and by what deadline?
The Learning Agreement during the mobility and its annex, the equivalence form (signed by everyone - the student and the academic coordinator) must be sent to the email address of the faculty coordinator (outgoing@btk.elte.hu), by November 30 for those having their mobility in the fall semester, by April 30 for those having their mobility in the spring semester.

15. What is the equivalence form, who signs it and when must it be submitted?

16. I failed to complete 20 credits at the university abroad (study abroad mobility). What happens now?
If, for some reason, the student does not manage to complete the required minimum 20 credits (ECTS) at the partner university during their mobility, it is possible to submit a so-called "request for exemption from repayment". There is no special form for this, the student can write it freely. The request must be addressed to the Vice-Dean for International Affairs, but must be sent to the faculty coordinator by email in pdf format (outgoing@btk.elte.hu). The application must include all information as to why the 20 credits (ECTS) were not / could not be obtained. The application will be reviewed by the academic coordinator and the Vice-Dean for International Affairs, and they can decide to support/not support it. The grant usually requires the acquisition of 18 credits, in case of fewer credits, the application is supported only if there is a well-founded reason. If the request is supported, the student does not have to repay any of the scholarship.

If the request is not supported, the student must reimburse from the scholarship in proportion to the credit they missed to complete.

17. Who should I contact regarding additional support? (for students with a disadvantaged background, for students with disabilities or long-term illnesses, Green travel support)
On the additional financial support website, by scrolling to the bottom of the page, you can find all the tenders and related information in the drop-down menu of the current academic year.

18. What happens if I have to stay longer at the partner university than the duration I gave in my Grant Agreement?
In case of study abroad mobility, if it is necessary to stay abroad longer than the closing date in your Grant Agreement, it is possible to prolong the mobility (with minimum 5 days) until the day of the last exam at the partner University. Please notify your faculty coordinator (outgoing@btk.elte.hu) of your intention to extend by e-mail, specifying the new closing date and the reason! After positive feedback, follow the extension documentation process on the website II/B-C at the website.

19. I do not have a valid passport / residence permit. Is it a problem?
Yes, that is a problem. You do need a valid residence permit to cross the border of the countries of the EU or the Schengen zone. Entry conditions for other countries vary, more information can be found on the website of the Consular Services.

20. Can I take a class at home (registered in Neptun) while I spend my mobility abroad?
ELTE does not support it, however, by submitting an application for an exceptional study schedule and receiving a positive evaluation, it is possible to take a course at ELTE and complete it during the mobility abroad. For questions related to submitting an application for an exceptional study program (where, when and how to submit it), you should contact your coordinator at the Registrar Office.
